Refunds, cancellations, and deposits
This policy applies to professional financial auditing engagements with Harbor Balance Audit Office. It does not cover products we do not sell.
Eligibility
Fees paid under a signed engagement letter may be refundable in part or in full depending on how much work has begun, whether third-party costs were incurred, and the notice period before scheduled fieldwork.
Timeframe to request a refund
Send written refund requests to hello@securewebroutinghub.digital within 14 days of the invoice date for unused prepaid amounts, or within 7 days of a cancelled fieldwork window—whichever applies first.
Full refund conditions
A full refund of amounts paid is available if we cancel the engagement for reasons within our control before planning work starts, or if you withdraw in writing before we begin planning procedures and no third-party confirmation or travel costs have been incurred.
Partial refund conditions
If planning or interim fieldwork has started, we refund the unused portion after deducting time already incurred at the rates stated in the engagement letter, plus non-recoverable third-party costs (for example bank confirmation fees already paid).
Non-refundable items
- Time already spent on planning, fieldwork, or reporting
- Third-party confirmation, travel, or specialist costs already committed
- Deposits applied to completed inventory observation days
Refund process and timing
Approved refunds are processed within 21 business days to the original payer by bank transfer. We confirm the amount in writing before transfer.
Cancellation and rescheduling
You may request to reschedule interim or final fieldwork with at least 10 business days’ notice. Later changes may incur a rescheduling fee reflecting team reallocation. Inventory observation dates tied to a physical count usually cannot move without coordinating your warehouse freeze.
Deposits
Statutory engagements typically require an initial deposit on acceptance. The deposit is applied to final fees. It is refundable under the full-refund conditions above; otherwise it offsets work performed.
No-shows and work already started
If client sites are unavailable on agreed fieldwork days without timely notice, time reserved may be billed. Work already performed on open engagements remains payable even if you later pause the engagement.
Purchased materials
We rarely purchase materials on a client’s behalf. If specialized reports or third-party confirmations were bought for your engagement, those costs are non-refundable once ordered.
Exceptions
Engagement letters may set different commercial terms for multi-year appointments or group audits. Where the letter and this page differ, the signed letter controls.
